Sentio attaches great importance to your privacy. This statement explains which personal data we process when you visit our website, get in touch or provide feedback through Sentio, and how we handle it. Sentio is a product of Sentogroup BV.
Who is responsible?
Sentogroup BV (“Sentio”), with company number BE 0783.936.281, is the data controller for the data collected through this website. You can reach us at contact@sentiofeedback.com.
For the feedback that organisations collect with Sentio, Sentio acts as a processor on behalf of that organisation, which is itself the data controller.
Which data do we process?
Website visits: technical data needed to display the site securely (such as your IP address in server logs). We do not use tracking or advertising cookies.
Contact and demo requests: your name, organisation and email address, so that we can respond to your request.
Chat assistant: the question you ask our website assistant is processed to generate an answer. Do not send sensitive personal data through the chat.
Feedback conversations: the content of the feedback a respondent provides. By default we do not ask for identifying data. Only when an organisation offers incentives (prizes) do winners voluntarily leave contact details in order to receive their prize.
For what purpose and on what basis?
We process data to respond to your requests (performance of an agreement or at your request), to keep the website running securely and to improve it (legitimate interest), and to comply with legal obligations.
For the chat assistant and optional incentives, we rely on your consent or on the legitimate interest of the organisation concerned.
With whom do we share data?
We never sell your data. We rely on carefully selected processors that help us deliver the service, including our hosting partner (Cloudflare), our email sender (Resend) and our AI supplier for the chat assistant and analysis (Anthropic). We conclude data processing agreements with these parties.
We aim to process data within the EU/EEA. Where data would nonetheless be processed outside the EEA, we provide appropriate safeguards.
How long do we keep data?
We do not keep personal data longer than necessary for the purposes described above, or for as long as a legal retention period requires. We keep contact requests for as long as needed to follow up on your question.
Your rights
You have the right to access, rectification, erasure, restriction and portability of your data, and the right to object or to withdraw consent you have given. Send your request to contact@sentiofeedback.com. You can also lodge a complaint with the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be).
Are you providing feedback to an organisation through Sentio? Then you exercise your rights in the first place with that organisation; we assist them with this as a processor.
Security
We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access.
